What automation means in practice

An automation is a rule a machine carries out the same way every time: when a quote request arrives, it's saved to your customer list, the sender gets a confirmation and you get a notification on your phone. When an invoice is paid, the books update. When a booking is made, the calendar and confirmation email take care of themselves.

A single automation often saves only minutes, but ten times a day, every day, that adds up to working days each month. More importantly, nothing gets forgotten: the customer gets a reply even while you're busy doing the work.

Who it's for

Businesses where the same data is typed by hand into several places, emails wait too long for an answer, or reports are assembled in Excel at month end. Typical targets are quote request handling, bookings, invoicing and reminders, onboarding messages for new customers, and sales and marketing reports.

Examples of what we build

  • A quote form that saves the request to your CRM, sends the customer a confirmation and notifies sales
  • Email automations: auto-replies, reminders, follow-ups after a set time
  • Invoicing connections: an invoice created automatically from an order or job, and payment reminders on time
  • Booking that updates the calendar, sends a confirmation and reminds before the appointment
  • Reports and alerts straight to email or your messaging app: sales, visitors, stock levels
  • Data transfer between systems without manual copying (forms, spreadsheets, CRM, accounting)

How the project runs

  1. Discovery: we go through how the work is done today and spot where automation saves the most. Free.

  2. Proposal: you get a written description of the automation, the tools involved and a fixed price.

  3. Build and test: we build the automation and test it together with real cases.

  4. Documentation: you get a clear description of what the automation does and how to change it. Nothing is anyone's secret.

  5. Ongoing: under a maintenance agreement we monitor it and develop it further as needed.

Price

The smallest automations, such as connecting a form to email and a CRM, have fixed prices. Larger ones are priced after discovery, always before the work starts. Any monthly fees of the tools involved are stated openly in advance, and we prefer free or low-cost tools.

Automation questions

What tools do you use?

We pick the tool to fit: often light custom code with no monthly fees, or ready-made automation platforms where they make sense. We like working with systems you already have, such as your current email, calendar or invoicing software.

Do I have to change systems?

Usually not. The automation is built between your existing systems. If one of them offers no interface, we explain the options before starting.

What happens if an automation breaks?

Automations are built so that an error raises an alert rather than silently losing data. Under a maintenance agreement we monitor them and fix incidents. With the documentation, another developer can also pick up the work.

Is this AI?

It can be, where it helps. Classifying messages or writing summaries suits AI, but most office automations are simple rules that run more reliably without it.
